Position Summary

Working with the Director, the Database Manager is responsible for accurate and efficient flow of data and processes key to Audubon’s integrated multi-channel marketing and fundraising activities.  S/he assesses system needs, manages change, designs processes to ensure support for all fundraising/marketing initiatives, and evaluates to ensure continued improvement.  Key responsibilities and oversight includes:  donor database(s), data management and processing, and reporting and analytics. The Manager works with the Constituency Development team to create a scalable platform and efficient processes to support Audubon’s Membership and Development strategies, goals, and future growth.

Essential Functions

Data and System Management:

  • Manage compilation and execution of comprehensive data hygiene protocols in the Millennium database.
  • Manages relationships with internal and external service providers and programmers as they affect data flow and integrity. 
  • Design and implement data structures, new codes and data flows to supply logical and consistent data points for easy and accurate reporting/segmentation.
  • Perform data overlays and clean-ups to append additional information/logic to all databases to meet fundraising needs.
  • Ensure optimum performance of group function. Recommend and implement techniques to improve productivity, increase efficiencies, cut costs and maintain state-of-the-art practices.


File Segmentation, Reporting and Analytics

  • Develop and maintain core knowledge of all file production. Working with internal and external service providers, ensure timely and accurate data files, documented segmentation logic, and sufficient redundancy pertaining to all database systems.
  • Manage the third party analytics vendor and the online reporting center (OCR). Ensure accuracy of reports on the OCR.
  • Meet all fundraising unit’s reporting/file segmentation needs
  • Design and execute full circle process flow:  reporting needs translate into data field population in database systems, data mapping is established, and reporting units are educated on new coding.


User Support:

  • Facilitates staff understanding of procedures and protocols for data use between systems and establishes conventions of use by all classes of users.  Manages training of staff on reporting systems and tools.  Interprets users’ needs and recommends solutions.
  • Develops strong knowledge of the Millennium platform. Responsible for understanding new releases and assessing their impact.

Qualifications and Experience

Education:  Bachelor’s (B.A./B.S.) degree or equivalent in information systems, computer sciences, business, or related discipline


Experience:  3+ years of progressively responsible database administration in a marketing or fundraising environment, preferably with large database systems. Experience with the Millennium donor database a plus.


An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above
